Quick Answer

How much is corporate group transportation in Tacoma?

Corporate group transportation in Tacoma starts at $125 per hour for executive black car (3-hour minimum), $1,500 for a 14-passenger Sprinter (6-hour minimum), $2,400 for a 25-passenger mini-coach (6-hour minimum), and $3,600 for a 55-passenger motor coach (6-hour minimum). Multi-day conferences, recurring corporate accounts, and dedicated contract clients qualify for volume pricing and NET 30 invoicing. Most full corporate events book multiple vehicles for different roles — VIP executives in black car, full team in coach — with dedicated dispatch coordination on the day. Service includes professional chauffeurs in formal attire, fully insured vehicles ($1.5M per-vehicle liability), NDA documentation available on request, dedicated account managers for established clients, and integration with most corporate procurement systems. Service area covers Tacoma, Pierce County, South King County, and Greater Seattle including downtown Seattle, Bellevue, and the Eastside tech corridor. Call (253) 666-6560 for a custom quote based on event size and complexity.

Conference & offsite logistics

Multi-day events. One coordinator.

Conferences and multi-day offsites are different from single-day group bookings — they need continuous logistics, multiple parallel routes, and a dispatcher who treats your event like an account, not a transaction.

How a multi-day conference shuttle works.

The pattern is consistent across most multi-day corporate events. Day-of-arrival airport pickup blocks for VIPs and out-of-town attendees, often spread across a 4-hour window as flights land. Continuous hotel-to-venue loops the next morning, running every 20-30 minutes for the first hour of conference start. Evening event transport from venue to dinner location and back. Day-after departure runs to SeaTac.

For events 50+ attendees, we assign a dedicated dispatch coordinator for the entire event duration — usually a senior dispatcher who handles all communication, vehicle assignments, and live adjustments. The conference planner gets a direct phone line, daily run-sheets, and real-time vehicle GPS tracking.

Multi-day same-fleet bookings qualify for volume pricing — typically 10–15% off published rates for events of 3+ consecutive days. We don't move vehicles to other bookings during your event, which means the same drivers your attendees see Monday morning are the ones picking them up Wednesday afternoon. Familiarity compounds.

Common conference venues we run: Greater Tacoma Convention Center, Hotel Murano, Marriott Tacoma Downtown, Tacoma Convention Center, plus Seattle/Bellevue venues including Hyatt Regency Bellevue, Bell Harbor Conference Center, and the Hyatt Olive 8.

Continuous loops

Hotel-to-venue shuttles every 20-30 min during peak windows. No "wait for the bus" dead time for attendees.

Dedicated coordinator

Senior dispatcher assigned to events 50+. Direct phone line. Live updates. No escalation tree.

Volume pricing

Multi-day same-fleet bookings get 10-15% off published rates. Vehicles stay assigned to your event for the duration.

Run-sheet ready

Daily run-sheets sent to planner the evening before. Vehicle assignments, chauffeur names, route plans — all documented.

Corporate events

Beyond the conference circuit.

EVENT 09

Convention transport.

Trade show transportation for exhibiting teams, attendee shuttles between hotel and convention center, evening event transport. Common at Greater Tacoma Convention Center.

Executive group travel

Boardrooms, investor days,
client visits.

Executive group travel is its own category — not a conference shuttle, not a corporate event. It's 3 to 14 VIPs traveling together for a specific business purpose: a board meeting, an investor day, a client tour, an M&A site visit, a strategic partnership kickoff.

The execution standard is different. Background-checked chauffeurs in formal attire are baseline. The ability to handle multi-stop circuits with confidence — boardroom to lunch to second meeting to dinner to airport — is essential. Discretion is non-negotiable. Conversations stay in the vehicle.

"For our quarterly board visits, we don't even ask anymore who's driving — Tacoma Shuttle just shows up and the day works."— EA at Tacoma-based PE firm, 4-year client

Common patterns include multi-board-member airport pickup coordination across a morning window (board members fly in from different cities at different times — we run separate sedans simultaneously), boardroom-to-restaurant-to-second-meeting circuits with the chauffeur waiting at each, and same-day or overnight return logistics coordinated against board members' departure flights.

For confidential bookings — M&A activity, sensitive guest lists, board-level executive transport — we provide signed NDAs from chauffeurs and dispatch staff on request. NDA documentation is a common ask from law firms, finance companies, and PE/VC clients, and we handle it as standard practice.

Signed NDAs available

Chauffeur and dispatch staff NDAs on request. Standard for law firm, PE/VC, and M&A bookings. Documentation provided pre-booking.

Multi-stop discretion

Chauffeur waits between stops, conversations stay in the vehicle, no questions asked about whose meetings or what was discussed.

Direct dispatch line

EAs and corporate travel managers get a direct phone line to senior dispatch. No phone tree, no escalation chain. Real authority on the other end.

Separate vehicles per VIP

For boards or investor groups requiring discretion between members, we dispatch separate sedans rather than consolidating. No assumptions, no awkward seating.

Familiar chauffeurs

For repeat executive clients, we hold the same chauffeurs whenever scheduling allows. Familiarity compounds — your board members start recognizing the driver.

— Account tiers

Three ways to partner.

How you engage with us depends on volume and needs. Most companies start as occasional bookings — a holiday party, a board visit, an offsite — and graduate to corporate accounts once volume justifies the formal setup.

For high-volume clients (typically 10+ bookings per month), we offer contract terms with dedicated account management, recurring billing, SLA commitments, and annual budget planning. Contract clients also get first call on peak dates and pre-positioned backup vehicles for time-sensitive bookings.

Not sure which tier fits? Just call us — we'll figure it out together. Most account-tier transitions happen organically as the relationship grows.
