How an event shuttle actually runs.

Event shuttles run differently than airport transfers or weddings. Here's what's actually happening before, during, and after the event — the operational details that make the night work.

An event shuttle is essentially three trips in one booking: the arrival run (pickup → venue), the wait period (chauffeur stages near venue while group attends event), and the return run (venue → pickup location post-event). Hourly hire covers all three at one rate.

Arrival timing matters. For Seahawks games, we target arrival 60-90 minutes before kickoff so groups have time for tailgating, food, and entry queues. For concerts, we target doors-open time. For conventions, we coordinate against your registration window. Your chauffeur knows the venue's typical traffic patterns and adjusts pickup time accordingly.

During the event, the chauffeur waits. Most major Pacific Northwest venues have designated cell phone lots or staging areas where chauffeurs can park without paying event-rate parking. The wait time is included in your hourly hire — there's no additional charge for the chauffeur to be present while you're at the show.

For major events with predictable post-event traffic (Seahawks games, Mariners playoff games, Climate Pledge Arena sold-out concerts), we may stage the vehicle on the route out of the venue rather than at the venue itself, then communicate the pickup location to the group via text. Saves 30-45 minutes of post-event gridlock. Your chauffeur tells you where to walk to.

Late-night returns are included as standard. Concert ends at 11 PM? Sporting event runs into double overtime? Convention reception goes past midnight? The chauffeur waits and runs you home. No DUI risk, no rideshare surge pricing, no figuring out how to get the group split across multiple vehicles at 1 AM.

The honest take: for groups of 2-4 on weekday games without surge pricing, Uber is genuinely cheaper. For groups of 6+, weekend games, sold-out events, or any night with alcohol involved, the shuttle math wins on cost, comfort, and DUI risk. Plus everyone arrives together, sits together, and goes home together.

Booking timeline

When to book. How it works.

Event shuttles can sometimes book same-day for vehicles in the right size — but for guaranteed availability on peak nights, here's the realistic timing.

For major concerts at Tacoma Dome, Climate Pledge Arena, or Lumen Field stadium shows, book 4-6 weeks ahead. Sold-out shows and high-demand tours (Beyoncé, Taylor Swift, etc.) can fill our calendars for the surrounding nights too — fans often combine the show with a wine country day or steakhouse dinner.

For Seahawks games, Mariners home stands, and Kraken games, 2-4 weeks notice is usually sufficient outside of playoffs. Playoff games and the divisional/championship rounds book out faster — for serious Seahawks playoff hopes, book during the regular season.

For conventions and festivals, 6-8 weeks is recommended, especially for multi-day continuous-hire bookings where we hold a dedicated vehicle for your event.

Last-minute bookings are accepted when vehicles are available, but Friday and Saturday night availability is rarely guaranteed inside 2 weeks during peak event season (May-October). For unexpected booking needs, just call dispatch — we may have the right vehicle even when our online tool says "limited."

Deposit terms: 25% deposit secures the date and vehicle, full balance due day-of. Same-day cancellations are charged the full rate; 48+ hour cancellations get the deposit back minus a small admin fee.
